Setting Up Pharmacy Locations
When an Investigational Medicinal Product (IMP) is added to the Study > Pharmacy Management page, it will go through a lifecycle of various Statuses, such as Receipt, Storage, Dispense, etc.
You can create one or more Pharmacy Locations that are associated with each IMP Status. Each Pharmacy Location will be a virtual representation of an area in your Clinic, where the IMP may be located.
❗Please note, ClinSpark will need at least the Reception Location to be configured before you start using the Pharmacy module. If no Receipt Locations are configured, you will see an error on the Pharmacy Homepage:
You will be able to setup the Pharmacy Locations in a way, that the users will be able to select from a list of relevant/appropriate Pharmacy Locations, when changing IMP Status. For example, if the user is changing IMP Container Status to Storage, only Storage Locations will appear for selection.
Each Location will have a unique Barcode. Barcoded Labels can be printed.
Configuring Pharmacy Locations
To create a new Pharmacy Location go to the Devices > Manage page, click the blue “Action” button and select “Add” from the menu.
Here is a list of fields, that may be populated for each Pharmacy Location:
Device Integration dropdown – may be left blank.
Site – Select the Site that the Pharmacy Location is situated in.
Category – select Pharmacy.
Approved – check the tickbox, if the Location is approved for use.
Name – provide the name for the Location, for example PHARMACY Storage Location 004.
Manufacturer – provide relevant Manufacturer information, or “Not Applicable” or similar text, if this information is not relevant for the Location (do not leave this field blank).
Device – provide relevant Device information, or “Not Applicable” or similar text, if this information is not relevant for the Location (do not leave this field blank).
Model Number – provide a relevant Model Number, or leave blank.
Serial Number – provide a relevant Serial Number, or leave blank.
Next Calibration Date – may be left blank.
Next Calibration Warning Date – may be left blank.
Used with Samples – leave unchecked.
Location Type – select the appropriate Pharmacy Location type. Only one Location type can be associated with each Pharmacy Location. This defines the Status of IMP that is appropriate for this Location.
Updating Pharmacy Locations
Each Pharmacy Location may be updated. You will need to navigate to Devices > Manage and click on the Pharmacy Location Barcode to access its details. Then click the blue “Actions” button at the top of the page and select “Edit”.
